This policy describes how Zenkai Interactive Studios, LLC handles information submitted through this public website, including project inquiries and the integrated recruiting experience. Separate agreements may apply to client work, employment, contracted services, or other dedicated systems.

Information you choose to provide

When you use the contact form, we may receive your name, email address, company or team name, project information, budget range, and the message you send. We use that information to review the inquiry, respond to you, and maintain a reasonable record of business communications.

Recruiting information

When you apply for a role, we may receive your name, contact information, location, résumé, portfolio or profile links, application responses, signatures, and other information you choose to provide. The recruiting team uses this information to evaluate the application, communicate about the hiring process, maintain recruiting records, and administer application status.

When identity and age verification is enabled for the recruiting flow, the application may also collect your date of birth and a government-issued identification document. Identification is treated as sensitive recruiting information, restricted to authorized recruiting review, and stored separately from public website content. The recruiting system supports a shorter configurable retention period for identification files and permits authorized staff to purge those files after review.

Each submitted application receives a private status link. The link functions as an access key to the applicant status page, so applicants should keep it private and avoid posting or forwarding it publicly.

Technical and security information

The site may receive ordinary request information needed to operate and secure the service, such as request time, browser information, and network address. The recruiting system may store a one-way cryptographic hash derived from a submitting network address for security and abuse-prevention auditing when that setting is enabled. Hosting infrastructure may also maintain ordinary server or security logs separately.

Cookies and session data

This site does not include advertising trackers by default. A session cookie may be used for security features such as protecting forms from forged submissions, maintaining authorized recruiting access, and preserving secure session state.

How information is shared

We do not sell contact-form or recruiting information. Information may be disclosed to service providers, professional advisers, or authorities when reasonably necessary to operate the site, deliver communications, secure systems, comply with applicable law, or protect legal rights. Recruiting information is intended to be accessible only to people who need it for the hiring process.

Retention and deletion

Information is retained only as long as reasonably needed for the purpose it was collected, operational requirements, dispute prevention, legal obligations, or legitimate business records. Recruiting settings provide separate retention controls for ordinary applications and government-ID files. Rejected or withdrawn applications may be removed after the configured application-retention period, while identification files can be removed sooner after verification is complete.

No internet-connected system can be guaranteed completely secure. Applicants should avoid submitting information that is not requested or reasonably necessary for the role.

Your choices

Applicants may withdraw an active application from their private status page. You may also contact the studio to request access, correction, or deletion of information you previously submitted, subject to applicable legal and recordkeeping requirements.

This policy may be updated as the site, recruiting process, studio operations, or applicable requirements change. The revision date above indicates the current version.
